ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

  • Possess a Degree in Business Management or equivalent.
  • At least 2 years of relevant working experience. Candidates with no relevant experience may still apply and will be further vetted on a case-by-case basis.

Responsibilities

You will be primarily responsible for the full spectrum of Admin activities for the CU Lines Group within your portfolio. You will work closely with CU Lines Shanghai team to define our HR & Admin strategy and execute the day-to-day operations, while supporting the Business in its growth and transition.

  • Maintain administrative documentation, including data entry, filing, and record-keeping.
  • Plan and coordinate administrative procedures and systems to streamline processes and improve efficiency.
  • Manage employee onboarding, including workstation assignments, business card orders, fingerprint registration, and preparation of office supplies.
  • Provide comprehensive event planning support for CULINES, both annually and on an ad-hoc basis.
  • Oversee the registration process, ensuring a seamless experience for invitees, including managing flight and hotel bookings.
  • Develop event proposals and presentations, collaborating with internal teams to ensure alignment with event goals.
  • Source and manage partnerships with suppliers, vendors, and other partners based on project requirements.
  • Monitor project management timelines and details, ensuring events are executed smoothly.
  • Provide on-site support during events, ensuring smooth operations and addressing any issues as they arise.
  • Prepare and submit accurate monthly reports in a timely manner.
  • Forecast, plan, and manage office and pantry supplies, including overseeing related expenses.
  • Liaise with contractors, vendors, and suppliers to address office-related matters (e.g., equipment maintenance, cleaning services, renovations, and plant maintenance).
  • Manage corporate gifts and submit invoices through the company’s in-house system.
  • Provide administrative support for employee travel, including flight reservations, hotel accommodations, and visa applications.
  • Assist in the setup of meeting rooms and provide first-level support for meeting room equipment. Ensure meeting rooms remain clean, tidy, and well-prepared for visitors.
  • Manage internal and external courier services, including receiving and sending packages.
  • Handle sourcing and purchasing requirements as needed, including restaurant sourcing for management.
  • Perform any other ad-hoc tasks assigned by the direct superior.
