As the expanding of business, we are looking for Admin Executive cum Company Driver to further support the expansion of Singapore team.

QUALIFICATIONS & SKILLS:

This role requires a reliable, organized, and professional individual with strong multitasking abilities. The ideal candidate should be a seasoned office admin professional with below qualifications and skills:

  • High school diploma or equivalent (additional certification in office administration is a plus).
  • Experienced in office administration or PA in Singapore.
  • Possess valid driver’s license with a clean driving record in Singapore.
  • Strong organizational and time-management skills and experienced in support office admin works.
  • Proficient in Outlook, MS Office (Word, Excel, PowerPoint) and experienced in using SAP/ERP system is a plus.
  • Demonstrated ability to analyse data autonomously and generate accurate, well-structured reports.
  • Basic knowledge of vehicle maintenance and safety checks.
  • Good communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Punctual, reliable, trustworthy, and professional demeanour.
  • Able to adapt to flexible working hours, including early mornings, late evenings, or occasional weekends.
Responsibilities

KEY RESPONSIBILITIES

The Office Admin Executive is responsible for providing administrative support to ensure efficient office operations while also performing driving duties for company-related tasks. The daily tasks including:
Admin Executive Duties:

  1. General Office Support:
  • Answer and direct phone calls, take messages, and handle inquiries.
  • Greet and assist visitors, clients, and employees.
  • Manage incoming and outgoing mail, packages, and courier services.
  1. Administrative Tasks:
  • Maintain office supplies inventory and place orders when necessary.
  • Assist in scheduling meetings, appointments, and travel arrangements.
  • Organize and maintain filing systems (both digital and physical).
  • Assist with basic bookkeeping, expense reports, and invoice processing.
  • Run errands such as bank deposits, bill payments, or purchasing office supplies.
  1. Documentation & Record-Keeping:
  • Prepare and edit documents (letters, reports, memos, etc.).
  • Assist in maintaining employee records and company databases.
  • Support HR with onboarding new employees (preparing IDs, paperwork, etc.).
  1. Facility & Equipment Maintenance:
  • Ensure office equipment (printers, scanners, etc.) is functional.
  • Coordinate with vendors for office repairs and maintenance.

Company Driver Duties:

  1. Transportation Services:
  • Safely drive company executives, staff, clients, and visitors to meetings, events, or other destinations in a timely manner.
  • Transport goods, documents, or equipment as needed.
  1. Vehicle Maintenance:
  • Ensure the company vehicle is clean, fuelled, and in good working condition at all times.
  • Schedule regular maintenance (oil changes, inspections, etc.) and report any issues.
  • Maintain accurate logs of trips, mileage, and fuel consumption.
  1. Compliance & Safety:
  • Follow all traffic laws and company driving policies.
  • Ensure proper insurance and registration documents are up to date.
  • Assist in emergency situations (breakdowns, accidents, etc.).
