Job Title: Admin Executive Report To: Building Manager Department: Property Management Location: Kuala Lumpur Job Type: Full Time Job Summary: The Administrative Executive oversees and coordinates the daily administrative operations within the property management department. This role ensures the smooth functioning of office processes, supports management in decision-making, and maintains compliance with company policies and property regulations. Key Responsibilities: Supervise and coordinate administrative staff and daily office activities. Manage documentation related to property leases, tenancy agreements, maintenance contracts, and renewals. Ensure compliance with property laws, safety standards, and internal procedures. Prepare reports, presentations, and performance summaries for management. Oversee billing, payments, and petty cash management. Assist in preparing budgets and tracking property-related expenses. Coordinate procurement of supplies, vendor contracts, and service providers Liaise with property owners, tenants, vendors, and service providers. Handle escalated tenant issues and coordinate resolutions with the operations team. Schedule meetings, prepare minutes, and follow up on action items. Maintain and update property databases, tenant directories, and documentation archives. Generate management reports and support audit requirements. Requirements: Degree in Estate Management, Business Administration, Building Services or a related field. Proven experience in administrative roles, preferably in property or facilities management. Strong organizational and multitasking skills. Fluent in the use of property accounting systems. Proficient in Microsoft Office (Word, Excel, PowerPoint). Good written and verbal communication skills in English and Bahasa Malaysia. Able to work independently and collaboratively in a team environment.
