JOB SUMMARY

You will be working as part of the Business Support Team, who provide administrative support to FLS Central Region staff in the delivery of forestry and environmental management in the Central Belt of Scotland, an area which encompasses 80% of Scotland’s population.
Our area of responsibility extends from Edinburgh and South Fife through the central belt to Greenock and North West to the Loch Lomond and Trossachs National Park (LLTNP), and the Cowal peninsula.
Central Region manages 92,000 ha of the national forests and land, including woodlands around towns, restored open cast sites and extensive areas of open land. We also manage areas in partnership with other environmental bodies and local authorities, and have a significant number of urban woodlands which support the mental and physical wellbeing of over 2.6 million visitors annually.
The Business Support Team are based at three office locations within the Region, West Calder, Aberfoyle and Glenbranter.
You’ll be based in our Aberfoyle office. Our offices are open Monday to Friday with rolling cover provided by our team. This is an office based role but hybrid working will be considered.
We are a friendly team of eleven people assisting all areas of the business within the Region. The work we do directly supports the delivery of our activities in the Region, ensuring each team is provided with a professional service to ensure the relevant processes are in place and monitored to guarantee a high degree of administrative support. The Business Support Team assist the wider business by providing support in the areas of procurement, finance, permissions, training co-ordination, business sustainability, and local vehicle fleet and machinery management.
We contribute to our stakeholder experience by handling calls and enquiries from the public, giving advice, directing calls to the relevant departments and ensuring our customers are happy with the service we provide.

JOB DESCRIPTION

The successful candidate will be required to provide professional administrative support to the region, as follows:

  • You will be responsible for processing all Land Based Permissions, as well as providing fleet and equipment administration and support to the Training Co-ordinator.
  • You will be responsible for carrying out regular building compliance checks.
  • You will work as part of our team to help to provide cover in the office, taking calls and accepting deliveries when necessary, assisting colleagues and providing support to other teams.

Responsibilities

MAIN DUTIES:

  • You will be administrator for the vehicle machinery and equipment (VME) fleet for the west of the region, liaising with our Mechanical Engineering Services department, processing asset transfers, co-ordinating our Pool system, managing keys and pool cars and carrying out the yearly VME audit and return.
  • You will be responsible for processing, issuing and charging for all Land Based Permission Requests for the region, ensuring these are managed timeously by liaising with all functions to ensure all constraints are considered prior to issue.
  • You will provide support to the Training Co-ordinator for the region, liaising with our Learning & Development partners, checking quotes, ensuring that all recurring training is booked within certificate timescales and assisting in the co-ordination of venues, bookings and delegate lists.
  • You will carry out regular building compliance checks eg. fire alarm and associated features for the Aberfoyle office.
  • You will work as part of our team to provide continuous cover in the office environment, providing professional support to colleagues and stakeholders, accepting deliveries, answering telephone calls, supporting the enquiries mailbox, handling complaints, and opening and closing the office when required. You may also be asked to provide secretariat support to regional meetings.
