ROLE SUMMARY We are hiring an Admin & Sales Coordinator to support our warehouse, sales, and administrative operations. This is a cross-functional role that bridges order management, quoting support, and QuickBooks data entry. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced distribution environment with physical and office-side responsibilities. KEY RESPONSIBILITIES Process and track customer orders from quote to shipment confirmation Support the sales team with quote preparation and follow-up under established pricing guidelines Enter and maintain data in QuickBooks Desktop (orders, invoices, inventory updates) Communicate with customers and vendors regarding order status, shortages, and delivery timelines Maintain accurate records for inbound and outbound shipments Assist with accounts receivable follow-up and invoice reconciliation Coordinate with warehouse team to confirm order accuracy before shipment Support daily warehouse log entry and reporting Perform general administrative tasks: filing, data entry, correspondence REQUIREMENTS 1–3 years of experience in an administrative, sales support, or operations coordinator role Proficiency in QuickBooks Desktop (required) - ability to enter invoices, run basic reports, and manage orders Strong attention to detail and accuracy in data entry Bilingual (English/Spanish) is required- customer and vendor base is bilingual Comfortable working in a warehouse-adjacent environment Proficiency in Microsoft Office (Word, Excel, Outlook) Professional communication skills - written and verbal WHY JOIN AMSU?
