We are seeking an experienced Operations Controls Admin Assistant to join our team in Dallas, TX. In this role you will serve as the first point of contact for the office while providing comprehensive administrative support to the Operations Controls team. **This is an in-office support role working daily from our Dallas office located at 4001 Airport Freeway, Suite 590, Bedford TX 76021 Dallas, TX ** Why TAK? The Role Provide day-to-day administrative support to the Operations team Serve as the day-to-day liaison with field project teams Manage and maintain records, documentation, and digital filing systems Assist team with vehicle scheduling, maintenance appointments, inspections, and service records Assist with data entry, weekly and monthly reporting, and preparation of summaries and dashboards Assist with monitoring compliance documentation including registrations, insurance certificates, and driver records Handle ad hoc administrative projects and research tasks as directed Serve as the welcoming first point of contact at the front desk, greeting visitors and guests professionally Answer and direct incoming phone calls to the appropriate team members Receive, sort, and distribute incoming mail and deliveries; coordinate outbound shipments Coordinate office lunch orders and catering for team meetings and events Manage the conference room calendar and ensure meeting spaces are set up and presentable Maintain office supplies inventory and place orders as needed to keep the office well-stocked Assist with onboarding logistics for new employees in office, including desk setup and access provisioning Flexible to additional tasks assigned as needed Requirements 2+ years of administrative assistant, office coordinator, or similar experience Exceptional organizational skills with strong attention to detail Prior experience in fleet management, logistics, transportation, or a related field a plus Familiarity with fleet management software or similar database/tracking tools a plus Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Strong written and verbal communication skills Ability to manage multiple priorities and deadlines in a fast-paced environment Professional, friendly demeanor with a customer-service mindset Ability to handle sensitive and confidential information with discretion Prolonged periods of sitting at a desk and working at a computer workstation Extended computer and screen use throughout the day, including data entry and document management Ability to lift, carry, and manage deliveries and office supplies — occasional lifting of up to 25–30 lbs may be required Regular walking between office areas, floors, or departments as part of daily duties Ability to remain on your feet for periods of time when managing the front desk or coordinating deliveries Professional private office and cubicle environment On-site free parking available for all employees Regular interaction with staff, visitors, and delivery personnel throughout the workday May be exposed to varying noise levels consistent with a busy office setting Must provide a valid government-issued photo ID for verification; a driver’s license is required if the role involves driving Passing of all pre-employment requirements (MVR, Background Check, Drug Screen) The compensation and benefits information is accurate as of the date of this posting.
