THE OPPORTUNITY

We are looking for a proactive Administration & Customer Service Officer to join our dynamic Infrastructure and Facilities Management team. You will be responsible for providing high-level administrative support to the General Manager and the Infrastructure and Facilities Management team. As the face of the Institute for all visitors, you’ll create an exceptional first impression, delivering warm, professional service that reflects our commitment to excellence.
The successful applicant will be highly motivated, an excellent communicator with the ability to multitask in a high-pressure environment.

Responsibilities

HOW THIS ROLE MAKES A DIFFERENCE

As the Administration & Customer Service Officer, you’ll be instrumental in ensuring the seamless operation of our Infrastructure and Facilities Management team. You’ll be the welcoming face of the Institute, creating a lasting first impression by greeting all visitors with warmth and professionalism.
You will become a valued member of our innovative Facilities Management and Infrastructure team at the Institute. Through this key role, you can contribute to our vision to help people to live healthier for longer, and to stop heart disease and diabetes in their tracks.

In this role you will be expected to:

  • Manage reception duties in a timely and professional manner.
  • Co-ordinate appointments for all medical services.
  • Process incoming faxes/emails.
  • Provide comprehensive capture of billable services, timely invoicing and identification as well as management of outstanding invoices using electronic medical record.
  • Ensure waiting rooms are always kept clean and tidy
