At Formula Space, we're looking for an experienced Executive Assistant to support our MD and Senior Leadership Team.

This is a rare opportunity to step into a truly influential role at the heart of our business, becoming a trusted partner to the MD and wider leadership team. Alongside executive support, you'll also play an important role in helping us create a great employee experience. You'll coordinate key HR activities, support recruitment and onboarding, help maintain our people processes and work closely with managers to ensure our team continues to thrive as we grow.

What you'll be doing

  • Working closely with the MD and Senior Leadership Team, you'll:EA Manage complex diaries, meetings, travel and day-to-day executive support.
  • Coordinate leadership meetings, prepare agendas, presentations and briefing papers.
  • Take accurate meeting notes and ensure actions are tracked and completed.
  • Support strategic projects, monitoring progress and helping keep priorities on track.
  • Work closely with HR and manage staff onboarding
  • Manage executive communications, including email correspondence and stakeholder engagement.
  • Prepare reports, presentations and business documentation.
  • Conduct research and provide administrative support across a range of business initiatives.
  • Build strong relationships across the business, working collaboratively with colleagues and external partners.
  • Handle confidential information with professionalism and discretion.
  • People & HRCoordinate recruitment activities, including arranging interviews, communicating with candidates and supporting hiring managers.
  • Manage the onboarding process for new starters, ensuring a smooth and engaging employee experience.
  • Support employee lifecycle activities, including contracts, probation reviews, promotions and offboarding.
  • Maintain accurate HR records and ensure documentation is kept up to date.
  • Coordinate training, development activities and company-wide people initiatives.
  • Support employee engagement activities, wellbeing initiatives and internal communications.
  • Assist with HR projects, policies and process improvements as the business continues to grow.
  • Act as a trusted point of contact for day-to-day people queries, escalating more complex matters where appropriate.

About you

  • We're looking for someone who is naturally organised, proactive and enjoys being at the centre of a busy business.You'll bring:Previous experience supporting a CEO, Managing Director or Senior Leadership Team.
  • Previous experience in an HR, People or Office Management role, or exposure to HR administration.
  • Outstanding organisational skills with excellent attention to detail.
  • The ability to prioritise competing demands and stay calm under pressure.
  • Strong written and verbal communication skills.
  • Confidence managing multiple projects and deadlines simultaneously.
  • A proactive approach, with the ability to anticipate needs and solve problems independently.
  • Excellent Microsoft 365 skills.
  • The highest levels of professionalism, discretion and confidentiality.
  • A genuine interest in creating a positive employee experience and supporting business growth.
