At HEH Civil, we are seeking a casual Administration Assistant. This role is based at our Mareeba workshop office and reports directly to the Service Manager. The primary role is to support the administration of our plant and fleet jobs for our busy workshop.

Responsibilities

ABOUT THE ROLE:

In the role of Administration Assistant, you will manage plant records and maintenance, support accounts payable, payroll and provide general administrative duties. This role offers flexible hours Monday to Friday, between 7am and 4pm. You can choose your days of the week so long as its consistent each week.
The position is ongoing and could lead to a permanent part-time role for the right candidate.

RESPONSIBILITIES:

  • General Administration Duties
  • Answering Phones
  • Customer Service
  • Take minutes at staff meetings
  • Coordinate and undertake purchasing of office supplies
  • Filling and archiving project documentation
  • Liaising with head office and projects suppliers/subcontractors
  • Data Entry
  • Maintain weekly plant report
  • Develop and maintain databases ensuring data integrity
  • Financial Duties
  • Invoice reconciliation & purchase orders
  • Entering weekly timesheets for payroll processing
  • Workshop Coordination
  • Ensure plant and fleet is serviced and repaired, in registration and prestart are completed on all by due date
  • Undertake other duties, as required

To be considered you must:

  • Have previous experience in an Administration role
  • Be available to work minimum 3 days per week
  • Have a professional telephone manner and communication skills
  • Proficient in Microsoft Office
  • Be reliable and punctual
  • Be able to work independently and as part of a team
  • Be enthusiastic to learn new skills/ systems
  • Possess excellent time management skills
  • Demonstrate the ability to manage yourself, prioritise tasks, and handle multiple responsibilities efficiently
  • Display a high level of accuracy and attention to detail
  • Flexibility and can-do attitude to take on several daily functions
