We are looking for an enthusiastic Administration Assistant to join our team in Rainham (RM13 8EU).
This is a 9-month fixed-term contract with potential extension to 12 months.
You will be expected to work Monday to Friday, 0830-1730.
The individual will support the Administration team by processing supplier invoices promptly and resolving queries to ensure timely payments. They will also help improve International Freight Forwarding processes and assist with various ad-hoc tasks.

Key responsibilities:

  • Manage assigned supplier accounts to ensure timely invoice processing and payments in line with payment terms.
  • Provide cover for colleagues when needed and maintain strong customer relationships. Address inquiries promptly, escalating issues to your line manager as necessary.
  • Ensure effective communication is always upheld. Respond to internal and supplier queries quickly and accurately, while handling a high volume of invoices efficiently.

  • Continuously improve administration processes and implement authorisation procedures. - Maintain integrity regarding financial policies and ensure strong communication between operations, commercial, and finance teams.

Key requirements:

  • Experience in an administrative or customer service role (experience in logistics or freight forwarding is a plus)
  • Proactive and flexible approach
  • Strong stakeholder management skills
  • Ability to prioritise tasks and work under pressure
  • Exceptional attention to detail
  • Excellent communication skills, both written and verbal
  • Strong customer service skills
  • Proficient numeracy and literacy skills
  • Basic IT skills, including Microsoft Office
  • Experience using in-house systems such as Coda, Cargowise Forwarding System
  • Financial awareness
