Responsibilities

ROLE SUMMARY:

The Admin Assistant will provide high-quality administrative and organisational support to ensure the smooth transition and ongoing operation of regulated services within the organisation. Working closely with the management team, this role will assist in the coordination of service transfers, maintenance of accurate records, preparation of documentation, and communication with internal and external stakeholders. The postholder will be responsible for managing day-to-day administrative tasks, supporting compliance with regulatory requirements, and ensuring that operational processes run efficiently during periods of change. This role requires strong attention to detail, excellent communication skills, and the ability to work effectively in a fast-paced, deadline-driven environment.

MAIN DUTIES / RESPONSIBILITIES:

· To provide accurate minutes of meetings as required.
· To manage incoming phone calls, responding to low-level enquiries, signposting, and taking messages as appropriate.
· To organise meetings, supervisions, and other service-related appointments as directed.
· To carry out low-level system updates and data amendments in line with operational requirements.
· To undertake data input tasks, including large-scale updates linked to operational changes and business development.
· To process and forward change of contract and termination forms to the relevant line manager.
· To scan and upload documentation to Care Planner in a timely and accurate manner.
· To extract and upload relevant information from documentation, such as compliments and feedback, to the appropriate Care Planner location.
· To complete administrative tasks relating to general enquiries, such as cancellations of visits, hospital admissions, and Care Planner diary entries.
· To process invoice payments in accordance with organisational procedures.
· To support the rota function by contacting staff in emergency situations as required.
· To prepare and distribute weekly service user rotas by email.
· To monitor PPE stock levels and arrange orders as necessary.
· To prepare and send birthday cards to service users and staff.
· To maintain and update the special leave tracker.
· To support the annual review and update of personal files, including health declarations, and assist with audits for CQC compliance.
