Your role at St John of God Richmond We are seeking applications for an Administration Assistant to join our Administration team on a permanent part-time basis, working 30.4 hours per week. The Administration Assistant will provide effective and efficient administration support and customer service primarily for the Counselling & Therapy Centre, in addition to following departments and roles as determined by organisational needs: Reception, Medical Centre, Clerical Admissions, Health Information Services, Ward Clerk. The Position Provision of administration support and functions for the Counselling & Therapy Centre ensuring exceptional customer service to internal and external customers. Preparation of next day clinic sessions ensuring all relevant information and medical record forms are distributed to Counselling & Therapy Centre clinicians. Record new patient referrals in appropriate spreadsheet and forward to clinicians for review and direction. Preparation of all new and follow-up correspondence for upcoming patient attendances. Receive and direct incoming calls demonstrating a high level of telephone etiquette. Maintenance of patient medical and other records ensuring all statutory regulations are adhered to. Completion of data reporting including daily activity/productivity, SA1, HoNOS and patient survey results. Accurate data entry and maintenance of Webpas. Completion of health fund eligibility checks for all patient attendances to the Counselling & Therapy Centre. Successful applicants must have previous administration experience in an office environment, high level written and verbal communication skills, and excellent clerical and computer skills. This position will also require exceptional customer service and interpersonal skills.
