About the opportunity: We are seeking a highly organised and proactive Administration Assistant to support our Executive General Manager – Residential Aged Care Operations and General Manager – Home Care. Based at our Head Office in Richmond, this is a pivotal role at the heart of our national healthy ageing portfolio, offering exposure to strategic operations and leadership. You will be also supporting other leaders within the Healthy Ageing division occasionally, as directed by the GM’s. You’ll be instrumental in ensuring smooth day-to-day administrative operations, enabling our leaders to focus on delivering exceptional care and services to older Australians. This will be a fixed term role based at our head office in North Richmond, with a view to extension. You will: Provide high-level secretarial and administrative support to senior executives. Full diary management for two senior leaders, travel arrangements, and meeting coordination. Prepare professional documents including reports, presentations, and correspondence. Take accurate meeting minutes and follow up on action items. Maintain confidentiality and discretion in handling sensitive information. Support divisional projects and initiatives as directed. Responsible for organising offsite meetings (small and large), sometime over multiple days Assistance with inbox management for 2 leaders Process and management of credit card and invoice expenses What you’ll bring: To thrive in this role, you will have: Demonstrated experience assisting senior management to maximise their value to the Organisation Understanding of large and complex organisations and organisational cultures. Experience working in the Aged Care land scape will be advantageous, not mandatory Outstanding administration and organisational skills. Advanced skills in Microsoft Office Suite - Word, PowerPoint, Excel, Outlook. Highly developed interpersonal, verbal and written communication skills. Ability to prepare meeting minutes, correspondence and presentations. Exceptional time management and organisational skills. Ability to work with sensitive and confidential information exercising the highest degree of discretion. Ability to work under pressure whilst managing various tasks. Exercise of mature judgement within delegated authority and anticipate issues/concerns.
