POSITION OVERVIEW:

We are looking for a casual staff member to help bring their expertise and to provide cover for our shop/office environment. Hours are Monday to Friday 8.30am and 5.00pm. As an Administration Clerk, you will play a critical role in the smooth operation of our Driving School by efficiently managing administrative tasks, bookings, scheduling their daily runs, enquiries and interacting with students and instructors to maintain a welcoming and organised environment.

QUALIFICATIONS:

  • Previous experience in administrative roles, preferably in a customer-facing or education-related setting.
  • Strong communication skills, both verbal and written, with an excellent telephone manner.
  • Proficiency in using office software, including word processing, spreadsheet, and email applications.
  • Exceptional organisational skills and attention to detail.
  • Ability to multitask and handle various responsibilities simultaneously.
  • Customer-focused attitude and the ability to remain patient and composed in fast-paced situations.
  • Familiarity with the driving school industry or a willingness to learn about it.
  • Scheduling background preferred*
Responsibilities
  • Administrative Support: Manage a variety of administrative tasks, including answering phone calls, responding to emails, scheduling appointments, and maintaining accurate records.
  • Student Interaction: Greet and assist students, parents, and instructors in a friendly and professional manner. Address inquiries, provide information about courses, pricing, and schedules, and guide students through the enrolment process.
  • Scheduling and Coordination: Organise and coordinate driving lessons, classroom sessions, and road test appointments based on student availability and instructor schedules. Ensure timely communication of appointments to all parties involved.
  • Documentation: Maintain accurate and up-to-date student records, attendance records, and financial transactions. Prepare necessary reports for management as required.
  • Payment Processing: Handle payment processing, issue receipts, and manage billing inquiries. Collaborate with the finance department to ensure accurate financial records.
  • Supplies and Inventory: Manage inventory of office supplies, training materials, and other resources. Place orders as needed to ensure a well-stocked and organised office environment.
  • Filing and Record Keeping: Maintain organized filing systems for various documents, contracts, and agreements. Ensure compliance with data protection regulations and confidentiality protocols.
  • Communication: Effectively communicate with instructors, students, and parents regarding schedules, updates, and any changes to classes or appointments. Handle inquiries and concerns in a professional and timely manner.
  • Office Maintenance: Maintain the overall cleanliness and organisation of the office space, creating a welcoming atmosphere for students and staff.
  • Directorial Assistance: As needed, you’ll provide support to the director in various day-to-day tasks, contributing to the overall efficiency of our operations.
