The role
Most of our processes are automated, so this is not a data-entry job. Your day is calls, emails and SMS — a high volume of them, handled quickly and accurately.
- Coordinate up to 25 on-site clinical teams — schedules, run sheets, changes, and the problems that surface before 8am
- Be the point of contact for centre directors and coordinators, from pre-visit through to post-visit follow-up
- Work closely with our three data entry and eligibility administrators, and with the administrator who handles centre booking confirmations, to keep information flowing accurately in both directions
- Handle parent enquiries about appointments, consent, funding and results with warmth and clarity
- Support teams in the field during peak on-site hours, 8:30am to 12:30pm. While teams are on site they can only communicate by message, so clear, fast, unambiguous written communication is essential
- Manage consent forms, bookings and records in our custom software
- We process about 1200 patients per week
This is a fast-paced role. Between 8:30am and 12:30pm it moves quickly and does not stop. If you thrive on a busy morning and a well-organised afternoon, you'll like it here.
What you'll need
- At least 3 years' administration experience in a GP clinic or comparable medical practice
- Genuinely self-directed. You will often be the person making the call. There is no one looking over your shoulder, and you won't want there to be.
- Excellent phone manner — warm, clear and efficient
- Fast, accurate typing. A large part of your day is written
- Confident on iMac and iPhone
- Exceptionally organised and efficient. This is the core of the job, not a nice-to-have
- Calm under pressure; early starts and moving parts don't rattle you
- Willing to obtain a Blue Card (Working with Children Check) and complete Geccko training
- Telehealth thorough understanding of claiming and function.
Highly regarded: Telehealth, Medicare or CDBS claiming, private health fund claiming, or experience coordinating mobile or multi-site health services.
