Job Description:
VOCA Fire Protection (VFP) are a specialist service provider in the Fire and Security Industry and due to further growth, we are looking for an experienced Administrator to join our growing business, this role will play a vital part to the business supporting various departments including Service, Projects and Accounts.

Job Summary:
As an Administration Coordinator you will be supporting a range of departments including Service, Projects and Accounts. VOCA Fire Protection have various types of contracts including pharmacies, leisure and retail, care, education and property management. This role would suit someone who has supported various departments with administrative duties such as job costings, raising jobs on a CRM system and inputting worksheets for key clients.

Key responsibilities:

  • Recognising completed jobs and preparing accurate costings, ensuring labour and parts are within expected budgets.
  • Submitting monthly invoicing packages and upload documents to customer portals.
  • Raising and monitoring monthly service jobs on the CRM
  • Updating schedules with the service team.
  • Following up on outstanding paperwork and pending job dates, updating records to maintain accurate job information.
  • Maintaining the engineer tracker spreadsheet, reporting key figures and concerns to management.
  • Working closely with other Schedulers, Sales & Projects, Engineers and Management team.
  • Retaining a good working relationship with clients and Engineers.
  • Working with a range of portals as per the clients’ requests.
  • Inputting worksheets and other data required.
  • Identify company improvements and voice your opinion for new ideas.

The ideal candidate will be self-motivated, approachable and capable of working as part of a team. To be successful in this role you must maintain high standards in all aspects of work and be able to build relationships with colleagues and clients. This role will be varied and will support a variety of departments. You must be able to adapt to change and have high attention to detail.

Location and Hours:
Head office is based in Ashton in Makerfield (WN4). The role will be full time office based. Working Hours are 8.30am to 5.00pm (Monday to Thursday) and 8.30am to 3.00pm (Friday)
Length of maternity cover:
14 months with the view of a permanent contract at the end of maternity cover
