QUALIFICATIONS & SKILLS REQUIRED:

  • Advanced Microsoft Office skills and IT literacy
  • Strong organisational & interpersonal skills, ability to multitask and work autonomously
  • Experience in a membership organisation would be advantageous
  • Meticulous attention to detail in both event and administrative tasks
  • Experience in event administration/organisation would be advantageous

Responsibilities

JOB PURPOSE:

Work directly with the Director General and Director of Operations and Communications to perform all administrative duties including membership administration in an independent and highly organised manner. Support our global events programme and regional Chapters (member groups) with organisation of their meetings and events and all related administration duties.

KEY DUTIES AND RESPONSIBILITIES:

  • Coordinate top level communications and interface with incoming queries
  • Managing updates to website, adding to CRM and sending Welcome Email.
  • All IIC event administration – producing delegates lists, name badges, joining instructions and speaker plates, liaising with speakers for bio/pics, ensuring these are added to IIC website etc.
  • Invoicing in relation to all membership renewals, new members and delegate fees, using our CRM platform
  • Board Meeting administration to include governance procedures and liaising with our Accountants on on/offboarding directors.
  • Working with the Director General on record keeping / storage of board related papers.
  • Prepare internal and external corporate documents for the team
  • Maintain and organise electronic, shared filing system
  • Manage Governance register, diarising dates and working with the Director General and Director of Operations and Communications
  • Working with our external partners who will produce reports.
  • General administration tasks, including arranging Team meetings and travel arrangements as required
