Administration & Front Desk Manager Key Responsibilities Front Desk Management - Manage daily front desk duties, including visitor reception, call handling, and responding to general inquiries. - Act as the first point of contact for the company, maintaining a professional and welcoming image at all times. Office & Administrative Support - Handle day-to-day administrative tasks such as coordinating office maintenance, procuring office supplies, and managing document filing. - Support general office operations and respond promptly to internal administrative requests. Documentation & Internal Support - Prepare and manage administrative documents, internal notices, and meeting minutes. - Assist in organizing and improving internal administrative processes and workflows to enhance efficiency. External Vendor Coordination - Coordinate with external vendors, including property management, cleaning services, and other office service providers. - Support license renewals, annual inspections, and basic compliance-related administrative matters. Culture & Internal Activities - Assist in organizing employee birthdays, holiday welfare initiatives, and other internal activities. - Support company events and internal gatherings to foster team engagement and a positive work environment. Meeting & Client Support - Prepare meeting rooms and provide on-site support for client visits and internal meetings. - Ensure smooth coordination and professional execution of meetings and visits. Requirements Education: Diploma or above. Language: Proficient in English and Chinese (Mandarin). Experience: 1–3 years of front desk and/or administrative experience preferred; fresh graduates with a strong ownership mindset are welcome. Attributes: - Detail-oriented, well-organized, and service-minded. - Proactive, reliable, and comfortable handling both front desk and administrative responsibilities independently. - Able to multitask, prioritize tasks, and remain calm in a fast-paced environment. Technical Skills: Proficient in MS Office; strong Excel and PowerPoint skills are an advantage. Communication: Friendly, professional, and capable of handling daily coordination with internal teams and external parties.
