Position Description: As part of our Administrative Specialist team, you will provide support to Plunkett's office operations by performing both temporary and permanent duties. Tasks may be added, dropped, or changed based on future impact of technology and client data management software changes. This position is specifically for an Administrative Specialist Level II, indicating intermediate understanding of tasks and the ability to manage tasks of a higher complexity. Essential Job Duties: Handle complex billing, collections, and account management operations. Ensure accuracy of electronic logbooks for clients who are subject to audits. Create and update complex accounts in Plunkett’s client database. Support clients with escalated billing questions and handle special billing requirements. Coordinate with Sales Team for management of large new accounts or updates to existing large accounts. Learn and manage the daily use of third-party portals for submitting work order requests and processing invoices. Cross train on other administrative duties and perform backup duties as needed. Process a large volume of daily emails. Perform administrative duties as assigned to ensure monthly tasks are completed by deadlines. Provide telephone backup support to Client Service. Adapt quickly to change and work under tight deadlines. Communicate effectively with both internal and external clients. Project a professional image; is friendly, pleasant, and courteous when dealing with internal and external clients. Cooperate with Company management by performing any other duties as assigned. To perform this job successfully, an individual must be able to perform each essential duty effectively. The requirements are representative of the knowledge, skill, and/or ability required. Requirements Minimum Requirements: High school diploma or equivalent. Ability to read, legibly speaks, and understands English; must be able to communicate clearly and effectively to clients and Plunkett's employees; including strong telephone skills (tone, clarity, grammar, and phone etiquette). Available to work 40 hours M-F on a set schedule during regular business hours with some overtime required in the summer months. The ability to prioritize and manage multiple tasks and deadlines. Self-directed with strong work ethic and attention to detail. Strong problem solving skills. Enjoys complexity in their work. Must have the capability to work independently and as part of a team. Proficiency in MS Office applications, typing, and 10-key. Competency working with spreadsheets and managing large amounts of data. Must be able to work in a team environment and develop positive relationships with co-workers. Favorable drug test and acceptable background record is also required. Preferred Requirements: Previous experience supporting large account management. Previous experience working with collections. Previous experience interacting with clients regarding account management/invoicing. Physical Demands and Work Environment: Communicates through telephone conversations, face-to-face interactions, texts and email. The ability to lift and carry up to 10lbs. Sitting for long periods of time; occasional bending, kneeling, stooping and crouching. Read printed materials and a computer screen. Stamina needed to maintain attention to detail despite interruptions. Must possess the mobility to work in a standard office setting and to use standard office equipment including a computer, keyboard, and telephone.
