The People Directorate is here to shape the Bank’s people strategy, provide information, help and advice to colleagues and line managers to thrive in their roles, and to deliver important people services across the Bank. The directorate comprises around 150 colleagues and is made up of 3 main teams: People Strategy and Insights (PS&I); People Advisory Service and Operations (PAS&OPs); and Reward, supported by the Executive Director’s Office. Our work helps the Bank to attract, identify, develop, nurture, retain and motivate the people we need to fulfil our mission.
This is an exciting opportunity to join our friendly and professional People Directorate team during a time of change to build and maintain a more efficient and productive service for the Bank. The Admin Manager role supports the effectiveness of the Directorate and the Executive Director (ED).

JOB DESCRIPTION

The purpose of the role is to ensure the efficient management of the cross directorate administrative tasks, enabling smooth operations and effective coordination. A key focus of the role is streamlining processes and handling routine administration to enable teams to have more focused attention on strategic priorities and leadership activities.
This role offers a fantastic opportunity for an experienced Administrator to further develop their skills and gain valuable experience in a dynamic and fast-paced executive office. It’s an engaging position with a diverse and stimulating workload, providing plenty of opportunities to showcase initiative and creativity.
The role holder will be a key member of the Executive Director Office (ED Office) working alongside the Executive Director’s Personal Assistant (ED PA) and reporting to the Private Secretary (PS). The Personal Assistants (PAs) to the People Directorate Leadership Team (PLT) members will report into this role (currently 4).
The position is for a 12 month fixed term contract.

The role will involve:

  • Delivering cross directorate administrative tasks ensuring that robust and efficient processes are in place. Tasks may include: Coordinating the new joiner and leaver process, coordinating stationery orders, processing invoices and vendor contracts, maintaining the office seating plan and locker inventory, coordinating directorate wide training
  • Line managing a team of 4 PAs and facilitating the collaboration and knowledge sharing across the PA team to build a joined up and supportive environment; setting clear expectations for deliverables, KPIs, and performance standards in collaboration with a matrix manager
  • Leading directorate engagement logistical activities such as townhalls, weekly cascades, and away days, and the local recognition programme
  • Ensuring the directorate Sharepoint site is up-to-date with key events, news stories, and relevant information
  • Carrying out directorate compliance activity such as health & safety checks, data (Sailpoint) access audits, business continuity co-ordination, logging incidents
  • Supporting the ED and the wider PLT, including taking notes, tracking action items, and follow-up on deliverables to ensure timely completion.
  • Staying informed of key Directorate updates, programmes and operational issues internal and external to the Bank and communicating to the ED Office as appropriate.
  • Cover absences of the Support Team

ROLE REQUIREMENTS

Minimum Criteria

  • Good organisation and planning skills
  • Be a self-starter and comfortable working on your own initiative and problem solving often times independently
  • Willing to embrace new technology and create and implement process improvements.
  • People management experience with experience in fostering a supportive and inclusive yet results-driven environment in a team

Desirable Criteria

  • Good written and verbal communication skills.
  • Experience working in a complex or fast-paced office, ideally supporting executive leadership.
  • Good knowledge of Outlook, PowerPoint, Excel and working knowledge of Microsoft 365 suite (LOOP, Sharepoint, Forms, OneNote, PowerAutomate, Lists)
  • Discretion and the ability to handle sensitive information with confidentiality.
  • Human Resources, Project Management/Coordination, and/or Operations experience.
  • Have strong analytical skills, with an ability to get to grips with a wide variety of information, filter key insights, and respond promptly.
  • An ability to build and sustain relationships: strong social skills, can build trust and work with senior management and colleagues across the Bank.

This role offers a salary of £33,680 - 37,890 per annum. In addition, we also offer a comprehensive benefits package as detailed below:

  • Currently a non-contributory, career average pension giving you a guaranteed retirement benefit of 1/80th of your annual salary for every year worked. There is the option to increase your pension (to 1/65th) or decrease (to 1/105th) in exchange for salary through our flexible benefits programme each year. The Bank has the discretion to vary standard accrual rates and dial up and dial down rates at any time and to withdraw dial up and dial down options at any time.
