We are seeking a dynamic, ambitious and results-driven Administration Manager to report directly to our CEO and elevate our administrative processes Kinrock-wide. The ideal candidate will blend three things: (1) a willingness to be very hands-on / pro-active / detail-oriented with all kinds of admin (without any team / direct reports at least initially), (2) high self-sufficiency / problem-solving ability no matter what the challenge (so that leadership and management can free up their time) and (3) excellent interpersonal skills facilitating seamless collaboration across the company’s various teams.
The individual will be required to spend four days per week our Edinburgh/Linlithgow office and possibly travel every 1-2 months to our Bristol office.

REQUIREMENTS

  • Demonstrable success in a previous administrative role
  • Previous HR experience and ideally CIPD qualification is a plus
  • Strong proficiency in Microsoft 365 / Office and general business software
  • Excellent written and verbal communication skills in English.
  • Highly personable with a positive attitude
  • Strong organisational skills with the ability to manage multiple projects simultaneously while meeting deadlines.

  • We are looking for someone very experienced but who is willing to be very hands-on, without any direct reports / team, at least for the first few years as we build Kinrock. In addition to handling general admin (like HR), this person needs to be very willing to get their hands dirty in any and all tasks across our brands (including client service) and be happy to collaborate / take direction from the commercial, operations and leadership teams to optimise processes, procedures, file management, etc., to elevate the organisation.   • Important: This role is Edinburgh/Linthlithgow-based, four days a week. Are you happy to visit our Bristol office once per 1-2 months as required?

Responsibilities:

  • Ultimate responsibility Kinrock-wide to make sure a series of daily, weekly, monthly, quarterly and annual tasks are completed with dependability and precision
  • HR admin: Ownership of our HR portal. Ability to write well and clearly to employees with little direction from leadership, liaising with our external HR and legal advisors. Ensuring monthly one-on-ones and appraisals are being completed as required.
  • Finance admin: Monitoring various mailboxes to make sure invoices are being moved to the right place for processing by our bookkeepers, and similar tasks.
  • Compliance admin: Making sure that we are liaising with our external advisors (legal, HR, GDPR, etc.) to ensure compliance across all functions
  • Operations admin: Assisting with any ongoing customer service / ops or special tasks at any of our brands / companies, using the email addresses the individual will have at those companies.
  • Leadership support: Helping the leadership team with tasks and projects.
  • Pro-actively seeking efficiencies across companies and functions, to make the daily lives of all employees easier so they can focus on their main goals
