This position requires strong leadership, strategic thinking, and effective communication skills. The Administration Manager collaborates with department heads, teams, and other stakeholders to drive organizational success.   Key Tasks and Responsibilities                                •    Communicate regularly with client, vendors, subcontractors, and others outside the organization associated with project and non-project related work. •    Manages office staff and admin assistants •    Responsible for Payroll (processing timesheets and paychecks) •    Manage/monitor project site employee records and files  •    Monitor onboarding responsibilities. Manage personnel employment changes, including transfers, new hires, terminations, salary and benefit administration  •    Understand union wage, fringe and benefit administration and communicate with and build relationships with local unions •    In charge of Accounts Payable/Receivable (tracking of invoices and payments) •    Manage Material Purchasing (Purchase Orders and Invoicing) •    Monitor IT issues and local network – Coordinates with Corporate IT Department •    Run all processes in OnBase and post to the Accounting software eCMS •    Prepare periodic reports and presentations  •    Review job cost for accuracy and timeliness •    Assist in the preparation of client billings •    Assist with Subcontractor/material suppliers change orders and client change orders •    Ensures that licenses and certifications for the project are current •    Responsible for truck licenses, titles and inspections •    Facilities Management (offices and change house for tunnel laborers) •    Handles logistics like travel, accommodations, and office supplies •    Complete Performance Reviews for direct reports, provide feedback and discuss •    Attend and participate in cost report reviews •    Work on special projects     Qualifications: •    Bachelor's degree in business administration, management, or a related field (preferred).  •    Proven experience in an administrative management or leadership role. •    Strong analytical, problem-solving, and decision-making skills. •    Excellent communication and interpersonal abilities. •    Familiarity with payroll and accounting (payable / receivable) •    Leadership experience in leading and managing cross-functional teams.
