Description TITLE: Office Assistant PURPOSE OF CLASSIFICATION: The purpose of this classification is to perform general clerical work for an assigned department. Employees in this classification answer phones and greet visitors; prepare and process reports, forms, and correspondence; run errands, and file and maintain departmental records. ESSENTIAL FUNCTIONS: The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned. Answers the telephone; receives visitors; answers inquiries from the public; maintains schedules and calendars; makes appointments. Research and compile information for reports; enter data into a computer; run reports. Prepares and codes bills to be paid; prepares invoices and checks; collects money; makes deposits as needed. Files office correspondence and other records; maintains records of various kinds of work done by the department. Types, processes, and prepares correspondence, charts, forms, reports, studies, evaluations, or other materials; takes and transcribes dictation. Processes incoming and outgoing mail; distributes mail. Runs errands as requested. Operates a personal computer, adding machine, facsimile machine, calculator, copier, base station radio, dictating equipment, telephone, or other equipment as necessary to complete essential functions, including using a word processor, spreadsheets, database, or other system software. Office Assistant assigned to the Administration Department performs the following additional duties: Enters parking tickets and prints reports; takes parking ticket money. Prepares and distributes blank applications; accepts completed applications from potential employees. Orders and distributes breakfast. Calculates figures for utility mail payments. ADDITIONAL FUNCTIONS: Performs other related duties as required. Requirements MINIMUM QUALIFICATIONS: High school diploma or GED; two months of experience in clerical work; or any equivalent combination of education, training, and experience that provides the requisite knowledge, skills, and abilities for this job.
