3DS Group is seeking an experienced administration office to join our team. Initially the Job would include a mix of Administration, PA Duties and Planning Duties.
The role is geared to a 5 days per week, 9am to 3pm, but we are open to starting at a 3 day arrangement if necessary but would be looking to step this into a full-time role as quickly as the person could learn our systems and take on more responsibility.
A successful candidate will be the first point of contact when clients enter the office. They will need to demonstrate strong communication and coordination skills, excellent adaptability and learning ability, and a proactive, willing-to-do attitude.
Elements of this job include inclusion on the estimation side, resource planning as well as taking on some general PA duties for the company’s Director.
If the successful candidate is open to taking a more forward role in estimation and overall office management, there is opportunity to increase contact hours quickly.

Responsibilities

WHAT WOULD BE YOUR KEY RESPONSIBILITIES?

Daily Administrative Tasks:

  • Greet visitors, answer/transfer phone calls, and manage scheduling
  • File management, data entry, document scanning and uploading, and calendar maintenance
  • Email management, procurement of office supplies, coordination of kitchen and common area cleanliness
  • Manage printing services, meeting room bookings, and other office resources

Finance & Back-End Support:

  • Assist in preparing quotes and invoices (using Xero and our own systems)
  • Follow up on purchase orders, bill payments, and credit card reconciliations
  • Support payment registration and reminders, and maintain remittance records
  • Handle payroll reports, leave records, and project timesheet tracking

Project Support & Estimating Assistance:

  • Help with project data entry and client information maintenance
  • Assist in organizing drawings and marking up design plans
  • Participate in quote setup and document management, supporting the project initiation process
  • Assist in preparing engineering certificates and statutory declaration documents (Stat Dec)

Pay: $64,000.00 – $74,000.00 per year
Expected hours: 20 – 38 per week
