Description

Key Responsibilities

  • Manage the day-to-day administration of the electorate office, including correspondence, record keeping, filing systems, office supplies, and stakeholder communications.
  • Monitor, triage and manage email, mail and incoming enquiries, ensuring correspondence is actioned promptly and filed appropriately within office systems.
  • Coordinate the MP's diary and commitments, including meetings, events, travel, parliamentary business, invitations and appointments.
  • Develop, maintain and improve office systems, workflows, databases and administrative procedures to support efficient and effective office operations.
  • Utilise AI tools and digital technologies, where appropriate, to support administration, research, communications, document preparation and workflow management, ensuring compliance with parliamentary policies, privacy requirements and office protocols.
  • Assist with the preparation of correspondence, briefing materials, reports, website content and stakeholder communications under the direction of the MP and electorate staff.
  • Manage and coordinate media enquiries, interview requests and media interactions, ensuring timely responses and accurate record keeping under the direction of the MP.
  • Support office communications, including website updates, publication of approved content and liaison with external stakeholders, government agencies and media representatives.
  • Process expenses and financial records, including reconciliations, petty cash and supporting documentation.
  • Maintain workplace health and safety requirements, including first aid, emergency warden responsibilities and compliance reporting.
  • Support staff and volunteers and contribute to a professional, collaborative and responsive electorate office environment.

Selection criteria:

  • Demonstrated experience in office administration.
  • High-level organisational and time management skills.
  • Strong written and verbal communication skills.
  • Proven ability to manage confidential information.
  • Experience with Microsoft 365 (Outlook, Word, Excel, Teams, OneDrive).
  • Demonstrated experience using AI and digital productivity tools to improve workplace efficiency, research, communication and administrative processes.
  • Understanding of the responsible, ethical and secure use of AI technologies.
  • Ability to work independently and prioritise competing tasks.
  • Demonstrated ability to work professionally with members of the public, stakeholders, volunteers and media representatives.
  • Experience managing media enquiries or supporting media engagement activities would be highly regarded.
  • Familiarity with website content management and online publishing platforms.
  • Ability to maintain accuracy and attention to detail while managing competing priorities.
