About the Role: 

As a Workshop Administration Officer, you will be responsible for ensuring that systems, databases, spreadsheets and reports are maintained accurately and in a timely manner. You will provide up-to-date information to support maintenance management, workshop productivity measurement, reporting and other operational requirements. This role is based at our Mona Vale Depot Workshop.

Key Responsibilities:

  •  Plan and organise administrative tasks, priorities, schedules and rosters to support the efficient operation of a busy workshop.
  • Monitor daily attendance, reconcile hours worked against rosters, manage leave, training and roster adjustments, and ensure accurate and timely payroll records.
  • Maintain accurate fleet, personnel and maintenance records and ensure information is entered into relevant systems in a timely manner.
  • Raise and process purchase requisitions and orders, ensuring information is accurate and discrepancies are resolved promptly.
  • Conduct site inductions for new employees and contractors, ensuring relevant policies, procedures and safety requirements are communicated.
  • Collect and process information from workshop staff, Leading Hands, Network Control Centre (e.g., signed work orders, changeover information, leave forms) to ensure complete and accurate reporting.
  • Build and maintain effective relationships with internal and external stakeholders.
  • Work with minimal supervision, manage competing priorities, demonstrate initiative and contribute proactively to the workshop team.

Skills and Attributes:

To be successful in this role, you will demonstrate:

  • Minimum 2 years’ administrative experience, preferably within a workshop or maintenance environment.
  • Strong working knowledge of Microsoft Office, particularly Excel, Word, and database systems.
  • The ability to work independently with minimal supervision, manage competing priorities, and use initiative in a fast-paced environment.
  • Sound knowledge of administrative policy and procedures.
  • Knowledge or experience in a mechanical or trade-based environment is desirable.
  • Sound numeracy skills and the ability to interpret and manage operational data.
  • Clear and professional written and verbal communication skills, with the confidence to engage with staff at all levels.
  • Demonstrated commitment to company values, integrity, respect and professional standards.
  • Ability to meet the inherent physical requirements of the role and undertake other duties within your skills, experience and competency.
