JOB SUMMARY

An opportunity has arisen to work within the private practice for Autism Assessments. The private clinics are operating from Harley Street and Paddington locations in London.
Working as part of a small team, the successful applicant will demonstrate excellent attention to detail and have strong administrative skills to help maintain excellent patient care within the private practice. Applicants must be able to multi-task, speak fluent English, competently use Microsoft Outlook, Word, Excel and Google Sheets and have a professional phone manner.

QUALIFICATIONS AND SKILLS

· Matric essential
· Tertiary qualification advantageous
· 5 years admin working experience essential
· Working experience in Public or Private Medical administration mandatory
· Ability to work in Excel essential
· English as first language essential
· Ability to communicate effectively and professionally in English
· Ability to have good telephone manner and act with integrity
· Ability to prioritize, multi-task and meet deadlines
· Ability to work within a small team environment and contribute to teams’ goals
· Ability to work independently and take responsibility for own tasks quality levels
· Ability to have excellent organizational, planning and co-ordinating skills

REQUIREMENTS

· Full time permanent role
· Working hours Monday to Friday from 9am – 6pm UK time
· Candidate must be based in Durban and able to commute to Durban North
· Candidate must be able to work remotely and be in an environment that has a stable internet connection within the Durban area.
· Candidate must take accountability, deliver work of a high-quality standard and always maintain professionalism with no supervision
· Candidate must be open to working in a hybrid environment. The current role is office based but there might be a view to change role to hybrid (remote and in-office) at a later stage.

Responsibilities
  • Book appointments in accordance with consultant and patient requirements using our booking portals.
  • Liaise with clinicians via email, WhatsApp or call.
  • Request, record and track availability of clinicians. (for various assessments such as Physical, PDIs, ADOS and Feedback availability).
  • Inbound and out outbound calls for patients to book appointments via our platforms.
  • Keep record for children that need school info.
  • Checking emails, looking into queries sent.
  • Managing googles spread sheets for trust and private patients.
  • Adding due dates & sending emails to clinicians for breach reports.
  • Sending list on WhatsApp for reports due to be sent and communicating via whatsapp with the team.
  • Compliance checks to ensure all clinicians documents are up to date in line with business requirements.
  • Maintaining and presenting feedback record from patients.
  • Booking private patients for post diagnostic calls.
  • Minutes of meeting/ MDT minutes.
  • Keeping record for incidents.
  • Managing emails (admin, info, cancellations, invoice, compliance).
  • Checking monthly invoices from clinicians.
  • Recording monthly data for each Trust and reporting to MD.
  • Book patients for Harley Street using their portal.
  • Chase clinicians for report completion and availability for feedback sessions.
  • Understanding final report formatting, finalization and facilitating the process.
  • Deal with enquiries from patients, consultant, and other medical professionals via email, phone and WhatsApp.
  • Update patient records, including chasing test results.
  • Scan medical documents in a timely manner.
  • Ensure all correspondence is presented in a professional manner.
  • To perform such duties consistent with the position which may from time to time be assigned to you.
  • This role is for someone who enjoys involvement and is keen to learn all about the practice and its patients.
  • To undertake health and safety duties and responsibilities appropriate to the post.
