This is a diverse and rewarding role that combines administration, student support, and placement coordination. The successful candidate will be the first point of contact for students, placement providers, and stakeholders, so exceptional communication and customer service skills are essential.

About the RoleAs an Administration Officer, you will provide administrative support across the college while coordinating student placements and maintaining strong relationships with healthcare facilities and industry partners. You will be responsible for ensuring administrative processes are completed accurately and efficiently while delivering outstanding service to students and external stakeholders.

  • Key ResponsibilitiesOrganise student work placements.
  • Contact aged care facilities, disability service providers, and other healthcare organisations to arrange student placements.
  • Build and maintain professional relationships with placement providers.
  • Prepare and send placement documentation and compliance paperwork.
  • Coordinate workshops and orientation sessions for students.
  • Monitor students undertaking self-arranged placements.
  • Conduct pre-placement information sessions.
  • Prepare and process student invoices and placement-related payments.
  • Review and verify student invoices for accuracy.
  • Respond to student enquiries via phone, email, and in person in a professional and timely manner.
  • Provide high-quality customer service to students, trainers, assessors, and industry partners.
  • Maintain accurate student records and update the student management system.
  • Schedule appointments, meetings, and workshops.
  • Liaise with trainers regarding placement scheduling and student progress.
  • Ensure all placement documentation is completed and returned within required timeframes.
  • Assist with compliance documentation and reporting.
  • Perform general administrative duties including data entry, filing, scanning, document preparation, and record management.
  • Support the management team with day-to-day administrative tasks.
  • Contribute to continuous improvement of administrative and placement processes.
