We are seeking an organised and proactive Administration Officer to join our Planning, Land Use Strategy, Housing and Infrastructure team at the Department of Planning, Housing and Infrastructure, where you will play a pivotal role in managing diverse and meaningful tasks while contributing to projects that streamline business processes and drive efficiency.
This is an exciting and unique opportunity to get a birds-eye view of one of the key areas of the Department of Planning, Housing and Infrastructure, and work with the Deputy Secretary and senior leaders across PLUSHI to support delivery against the Minster and Secretaries’ priorities.

Responsibilities

ABOUT THE ROLE:

You will provide key support to the Deputy Secretary to accurately deliver a range of administrative and business services, including diary management, financial and human resource processes, records management, purchasing and vendor management, and travel arrangements. This is a great opportunity to be part of a team that values your contributions and fosters professional development.

You will need to enjoy working in an environment of competing and high-volume priorities, and have the ability to:

  • Handle day-to-day admin tasks including diary management, financial processes, HR support, purchasing, and travel arrangements.
  • Provide comprehensive administrative assistance to the Deputy Secretary, ensuring their daily operations run smoothly.
  • Establish and maintain strong relationships with internal and external stakeholders, facilitating effective communication and collaboration.
  • Take initiative in organising and managing the Deputy Secretary’s calendar, scheduling meetings with internal and external stakeholders, and ensuring all appointments are efficiently coordinated.
  • Prepare and manage professional-grade correspondence, reports, and presentations in plain English which are tailored to stakeholder needs.
  • Support project tasks and help implement streamlined processes and systems for improved efficiency.

WHAT YOU WILL BRING TO THE ROLE

  • Experience in providing high level executive services, administrative support and complex diary management.
  • Excellent written and verbal communication skills, with the ability to communicate with a diverse stakeholder.
  • Strong administrative and customer service skills, with experience providing administrative support in complex environments.
  • Demonstrated ability to work independently with minimal direction, proactively handling tasks and making decisions.
  • Solid time management and organisational skills to manage multiple tasks with competing priorities and varying levels of complexity.
  • Demonstrated flexibility and adaptability to thrive in a fast-paced and dynamic work environment.
  • Strong decision-making skills, capable of managing tasks independently within set timeframes.
