We are now looking for a suitable person to fill the following position in the Public Affairs Office: Major Duties and Responsibilities The Public Affairs Office (PAO) is seeking a self-motivated and detail-oriented Administration Officer to support the efficient operation of the office. The successful candidate will be responsible for the following key duties: Developing, reviewing, implementing, and improving office operational and administrative procedures to optimise efficiency and ensure smooth daily operation of the Office; Managing and executing finance and procurement tasks, including monitoring budgets, expense tracking, petty cash management, procurement (tendering) of goods and services, and invoice handling; Performing human resources functions, including recruitment, onboarding, and administrative support for new employees; Maintaining up-to-date and well-organised databases and filing systems to ensure accuracy and accessibility of office records and information; Coordinating and preparing regular office reports; Assisting with filing and uploading news clippings to relevant platforms; Managing event registration and providing logistical support; and Undertaking ad-hoc projects and other duties, as assigned by the Director. Candidates Candidates should possess the following qualifications, experience and competence: A recognised degree with at least 3 years’ relevant experience in general administration, secretarial duties and handling financial procedures; Good command of both spoken and written English and Chinese (proficiency in Putonghua is an advantage); Solid understanding of financial and administrative processes; Proficiency in computer applications, including MS Word, Excel, Powerpoint, SharePoint and Chinese word processing; Strong organisational and multitasking abilities; Attention to detail and problem-solving skills; Good interpersonal and communication skills, Self-motivated, quick to learn and capable of working independently with a strong sense of responsibility and can-do spirit; and Flexible and willing to work outside office hours when required.
