PsychSolutions Health & Wellbeing is a rapidly growing multidisciplinary practice providing high-quality psychological and allied-health services across the Central West. We’re looking for a friendly, organised and proactive Administration Officer to become an integral part of our Bathurst team.

About the Role

The Administration Officer is the first point of contact for clients, referrers, and stakeholders. You will provide exceptional customer service while ensuring our clinical team is supported to deliver high-quality care.

Key responsibilities include:

Reception & Client Support

  • Welcoming clients with warmth and professionalism
  • Managing a busy reception environment
  • Answering incoming calls and responding to emails promptly
  • Scheduling appointments for multiple clinicians across varied calendars
  • Providing information to clients, families, schools, GPs, NDIS providers and support coordinators
  • Maintaining confidentiality and sensitivity at all times

Administration & Practice Operations

  • Daily reconciliations, payments, invoicing and receipting
  • Medicare, DVA, NDIS and private billing processing
  • Managing referrals, intake forms and client documentation
  • Monitoring clinician waitlists and availability
  • Assisting with room preparation and ensuring a welcoming practice environment
  • Liaising with clinicians, management and external partners
  • Supporting compliance processes and accurate record keeping
  • General office duties including filing, scanning and correspondence

About You

We’re looking for someone who is:

  • Warm, friendly and confident in working with people from all walks of life
  • Highly organised with strong attention to detail
  • Able to prioritise tasks in a fast-paced environment
  • A clear, compassionate communicator
  • Professional, reliable and proactive
  • Comfortable using practice management systems (experience with Best Practice or similar is desirable but not essential)
  • Experienced in administration or reception—experience in allied health, medical, or psychology settings highly regarded
