You will be joining a down-to-earth team that takes pride in doing great work, looking after their customers and, importantly, enjoying what they do along the way.

About the Role

This is a hands-on administrative role supporting our day-to-day operations, with a particular focus on job documentation, purchase orders, handover packs, invoicing and maintaining accurate records.

You’ll work closely with our team and provide direct administrative support to the Managing Director, so being someone who can take initiative, stay organised and jump in where needed will be important.

Key Responsibilities

  • Manage emails and general correspondence
  • Process purchase orders (POs) and ensure relevant documentation is added to job files
  • Prepare, complete and send job handover packs
  • Prepare invoices associated with completed handover packs
  • Respond to enquiries relating to handover packs and job documentation
  • Maintain and update quote spreadsheets
  • Ensure job records are accurately filed and maintained
  • Provide general administrative support across the business
  • Use Xero for day-to-day administrative tasks, including entering and uploading invoices
  • Assist the Managing Director with ad hoc administrative duties as required

About You

We’re looking for someone who is confident, capable and keen to learn.

You don’t need to know everything on day one - we value someone who is a quick learner, uses common sense and isn’t afraid to ask questions.

You’ll ideally be:

  • Confident and comfortable communicating with different people
  • A quick learner who can pick up new systems and processes
  • Highly organised with strong attention to detail
  • Reliable, resilient and able to keep your cool when things get busy
  • Comfortable working as part of a busy team
  • Able to work independently and take ownership of your tasks
  • Familiar with Xero, particularly entering and uploading invoices
  • Competent with Microsoft Office and spreadsheets
  • Down-to-earth, approachable and willing to pitch in wherever needed
  • Someone with a good sense of humour who doesn’t take themselves too seriously!
