Your role at St John of God Subiaco Hospital We are seeking a highly organised and professional Administrative Officer to join our Safety, Quality and Risk (SQR) team within a values-driven not-for-profit healthcare organisation. This role plays a key part in supporting the delivery of safe, high-quality care by providing essential administrative services under the guidance of the Manager, Quality & Risk. In this role, you will provide high-level administrative support to the SQR team, ensuring the smooth operation of day-to-day activities. You will be responsible for producing accurate and well-presented documents, managing correspondence, and maintaining records with a high degree of confidentiality and discretion. We are looking for someone who is proactive, reliable, and confident in managing competing priorities. Strong communication skills, a professional approach, and a genuine interest in supporting safety and quality initiatives in healthcare. The Position Coordinate and provide full secretarial support for the Safety and Quality team and key governance committees. This includes preparing agendas, collating complex reports and pre-reading materials, minute-taking and tracking the timely completion of all committee actions. Manage the forward schedule of committee meetings and annual reporting requirements. Manage correspondence, phone calls, and complex inquiries directed to the Safety and Quality team, handling sensitive information with discretion. Organise departmental records, filing systems, and office supplies. You will demonstrate advanced written and verbal communication skills including the ability to draft letters, memos, standard reports and other correspondence on behalf of the Manager. You will have excellent interpersonal skills with the ability to communicate effectively with Executive, Managers, Caregivers, the public and other external stakeholders in a courteous manner whilst conveying a high level of professionalism. To succeed you will have the ability to prioritise and multitask and have advanced skills in Microsoft Office with an attention to detail.
