POSITION OVERVIEW

The Administration Officer (Compliance, Payroll & Scheduling Support) plays a vital role in ensuring our operations run smoothly, accurately, and in alignment with compliance requirements. This position is responsible for maintaining accurate employee and operational records, supporting payroll functions, assisting with staff scheduling, and acting as a key communication point between management and employees. The role requires high attention to detail, strong organisational skills, and the ability to work collaboratively across teams while upholding cultural safety and community values.

Essential Skills & Experience

  • Proven experience in administration with a focus on compliance, payroll, or scheduling, or willingness to learn new systems.
  • Proficiency in Microsoft Office and scheduling
  • Strong organisational skills with the ability to manage multiple priorities and deadlines.
  • Excellent communication skills and ability to build rapport with a diverse workforce.
  • High attention to detail and accuracy in all administrative work.
  • Understanding of culturally safe practices and Aboriginal community engagement is highly regarded
Responsibilities

KEY RESPONSIBILITIES

Compliance

  • Maintain up-to-date and accurate employee records in line with Policies and Procedures.
  • Ensure collection and management of all required documentation including timesheets, safety forms, leave requests, and training certifications.
  • Monitor and track staff compliance with PPE, training, and workplace safety requirements.
  • Assist with internal audits, compliance reporting, and preparation for external inspections where needed.

Payroll Support

  • Review, and organise weekly timesheet submissions from employees.
  • Liaise with staff and supervisors to resolve payroll discrepancies or missing information.
  • Support payroll officers with employee queries.

Scheduling Support

  • Assist in the creation and maintenance of staff rosters using Traffio
  • Coordinate with operations and site supervisors to adjust rosters in response to leave, absences, or operational changes.
  • Update and distribute schedules to ensure staff and clients are informed of any changes promptly.
  • Support the efficient allocation of resources to meet operational needs.

Communication with Employees

  • Act as the first point of contact for employee queries related to scheduling, payroll, or compliance requirements.
  • Provide clear and timely communication of updates, instructions, and operational notices to staff.
  • Support new staff with onboarding paperwork and induction processes.
  • Promote a culturally safe and inclusive environment in all staff interactions.
