ABOUT THE OPPORTUNITY

The Administrative Officer provides frontline service, in a regional, networked and customer focused team, in a fast paced, high-volume environment, delivering critical, day-to-day service-related activities for Health. As a member of the College Services (Health) team, the Administrative Officer provides seamless administrative and customer service delivery, particularly focused on contributing efficient, lean and responsive processes to support the day-to-day operations of Health.
We are seeking to appoint an Administration Officer within College Services team which supports eight Academic Units within Health; the Tasmanian School of Medicine, School of Psychological Sciences, School of Pharmacy and Pharmacology, School of Health Sciences, School of Nursing, School of Paramedicine, Wicking Dementia Research and Education Centre, and the Menzies Institute for Medical Research.
You will need to be a team player and have the ability to build effective relationships. Strong organisation skills will assist you to work on multiple tasks at any one time. Taking initiative and effective prioritising is key to how you operate and will be second nature to you. Communicating with stakeholders by online and in person will complement your work across multiple systems, including our service management system (Help Hub).

Responsibilities
  • Deliver responsive and customer focused service to professional and academic staff within Health. Provide front of house support to the College, including reception duties and event support.
  • Maintain an understanding of current policies and procedures, and provide proactive, accurate, and solutions focussed advice and enquiry management.
  • Support the service requirements of Health in a consistent manner by contributing to the development and implementation of Standard Operating Procedures and proficient use of approved University systems (e.g., Help Hub).
  • Actively contribute to a superior service culture enhancing the awareness and contribution of the team. Identify opportunities to improve service delivery; develop specialist expertise to lead key processes or initiatives within your role.
  • Apply a Lean methodology to your work, identifying and implementing continuous improvement and actively engaging in training, development and networking opportunities relevant to your role
  • Undertake other duties as assigned by the Team Leader and consistent with this role description.
  • Occasional travel between campuses, or work in different buildings, may be required of the role holder.
