JOB SUMMARY

Are you a motivated, organised individual, with strong IT skills including Microsoft Outlook, Word and Excel? We have a number of exciting and challenging roles available across the organisation in both Personal Assistant and Administration roles.
Successful candidates may be posted in any of the Transport Scotland Directorates, supporting colleagues to deliver a variety of services, both for the wider organisation and for the people of Scotland.
Our personal assistant roles will provide dedicated support to senior leaders in Transport Scotland, ensuring that their diary, actions and deadlines are prioritised, co-ordinated and managed. Other roles are likely to entail administrative support to a larger team, supporting particular functions and/or remits. All roles will require the post holders to have strong attention to detail, excellent IT skills, and be adaptable to change.
Transport Scotland have two positions available immediately, but we will hold a reserve list of candidates for 12 months in order to fill any future A4 positions that may become available. Offers will be made in merit order, and successful candidates will be given more details about their specific roles at the time of offer.

JOB DESCRIPTION

  • Proactive diary and inbox management and travel booking.
  • Organising and preparing meetings and events, prioritising tasks and coordinating activity.
  • Ensuring efficient back of house services working across enabling functions.
  • Providing efficient, effective and proactive support to a Director/team.
  • Mailbox management, issuing responses to colleagues, stakeholders or members of the public.
  • Limited roles may have line management responsibility.
  • Assist with the management and maintenance of accurate records, which may include manual input of data.
  • Other Ad hoc duties such as minute taking, paying invoices, creating meeting agendas and drafting other notes and responses as needed.
