About the Opportunity
The Administration Support Officer provides administrative support to ensure the effective operations of NT PHN offices and facilities, and for the provision of a welcoming environment for visitors and employees. The role delivers a broad range of administrative tasks including, but not limited to, reception duties, administrative processes and systems, assets, facilities, events and continuous improvement.
Reporting to the Corporate Services Lead, the Administration Support Officer is accountable for:
General reception duties such as meeting and greeting stakeholders; answering, screening and directing phone calls; arranging couriers; and managing incoming and outgoing mail; during business hours (Monday to Friday 8.30am to 4.30pm).
Administrative support and high-level customer service to internal and external stakeholders to support the effective operations of the organisation.
Undertaking travel and accommodation bookings for internal and external stakeholders and board members.
Maintaining facilities across the office to ensure smooth day-to-day functioning and compliance with WHS requirements. This includes keeping the reception, meeting rooms and kitchens clean and tidy, ensuring that amenities are adequately stocked, and that refreshments or catering is available for meetings as required.
Providing support for the smooth functioning of meeting room audiovisual equipment (training will be provided).
Supporting the induction of new employees by ensuring appropriate swipe cards are provided and that work areas are set up with name cards and stationery prior to arrival.
Assisting with the procurement of business-related goods and services and raising purchase orders.
Working collaboratively and effectively as a member of a high-performing team, engaging positively with internal and external stakeholders, maintaining relationships and ensuring cultural sensitivity.
Taking responsibility and initiative for any ad hoc administrative requests.
Representing the knowledgeable, effective, and professional image of NT PHN in line with organisational values and behaviours including the professional environment of the office.
Knowledge or training equivalent to year 12 or Cert III or equivalent relevant experience /education and training.
Minimum 1 year of relevant experience in a similar role.
High level administration and organisational skills showing capacity to prioritise multiple tasks.
Demonstrated computer literacy with proficiency in a range of software packages including Microsoft Office applications, Microsoft Outlook and Microsoft SharePoint.
Strong written and verbal communication skills, with the ability to provide a high level of customer service in a diverse environment.
Ability to build rapport, develop business relationships and contribute effectively to a team using initiative.
Strong organisational skills with the proven ability to work independently and to proactively solve problems as required.
Applicants must be available to work 8.30am to 4.30pm Monday to Friday to align with business operating hours.
