Job Description Our Administration team is looking for an Administration & Workplace Specialist who’s ready to take ownership of how our offices function and feel. We manage our Warsaw HQ and coworking spaces in Kraków and Wrocław. Our goal? Daily Responsibilities Handling day-to-day office operations to ensure a smooth and efficient work environment. Managing office supplies and equipment, including furniture, stationery, and kitchen supplies. Coordinating with external vendors (cleaning services, catering, technical support). Supervising office maintenance, renovations, and reorganization projects. Supporting office space logistics, including seating plans and office moves. Sourcing offers and negotiating terms with suppliers to ensure cost-effective services. Supporting contracts and ensuring proper documentation. Processing administrative invoices and reconciling company credit card expenses. Implementing and maintaining internal office procedures. Supporting internal communication. Helping organize internal and external meetings and company events. Supporting office space arrangements and minor renovation or reorganization projects. Supporting operations in Kraków and Wrocław working areas, including vendor coordination. Qualifications Minimum 2 years of experience in office administration or workplace operations Strong organizational and multitasking skills with high attention to detail Proactive, solution-oriented approach to daily office challenges Solid knowledge of MS Office Experience with Jira or similar ticketing/workflow systems is a plus Strong communication skills and a collaborative, respectful approach English proficiency at B2 level or higher required; Polish proficiency preferred This role is primarily on-site in Warsaw; flexibility can be discussed based on individual needs Nice to Have Familiarity with Jira or similar tools Experience supporting multi-location offices Additional Information Working mode Office-First setup (working mainly from our Warsaw office).
