Working pattern: Monday to Friday, with potential weekend work in the future

Hours: Full-Time

NeuroLink Health Group is a specialist neurodiagnostic service for adults and children. We have our own independent clinic and also provide services in private and NHS hospitals.

We are looking for an organised, welcoming Administrative and Clinical Assistant to help run our clinics and support patients throughout their appointments. This varied, patient-facing role combines medical secretarial work, clinic coordination and hands-on support for clinicians.

Key responsibilities

· Welcome patients, check them in and out, confirm their details and help them feel comfortable during their visit.

· Prepare clinic rooms, equipment and supplies before appointments, and clean and reset them between patients in line with infection prevention procedures.

· Assist clinical staff during appointments and support patients who need additional help, following training and under the clinician’s direction.

· Act as a chaperone when required, in line with our procedures.

· Receive and log referrals, check that the information needed for clinical triage is available and follow up on missing details.

· Book patients and manage clinic diaries, liaising with hospitals, medical secretaries, consultants and clinical staff.

· Manage the practice management system, keeping patient records, bookings and clinic information accurate and up to date.

· Send appointment confirmations and patient information, and help coordinate rooms and equipment for clinics.

· Respond to telephone, email and website enquiries, referring clinical questions to the appropriate clinician.

· Transcribe reports from audio dictation for clinician review and approval, track outstanding reports and send approved reports securely to referring clinicians.

· Monitor outstanding referrals and appointments, escalating delays or urgent queries to the appropriate team member.

· Raise invoices, process or record patient payments, and liaise with insurance companies about authorisations and billing.

· Monitor consumables and help arrange orders for clinics.

· Promptly pass patient complaints, incidents and clinical concerns to the appropriate clinician or manager.

There may be an opportunity to train in specific clinical support tasks, such as electrode application, subject to training, competency assessment and supervision.

Essential skills and experience

· GCSE-level qualifications in English and maths, or equivalent.

· Strong IT skills, including Microsoft Word, Excel and Outlook.

· Audio typing experience and a working knowledge of medical terminology.

· Professional and confident telephone manner.

· Experience managing several tasks at once and working to deadlines.

· Excellent attention to detail and proven organisational skills.

· Clear written and verbal communication skills.

· A calm, sensitive and professional manner with patients, including those who may be anxious or have additional needs.

· A self-motivated approach, strong interpersonal skills and excellent customer service.

Experience in a healthcare setting or using a practice management system would be an advantage. Training in our services, systems, safeguarding responsibilities and clinic procedures will be provided.
