the Brooks Composite High School is hiring!
The Brooks Composite High School is seeking applications to fill two (2) full time School Administrative Assistant positions, to work both independently and as a team, to support students, staff and operations of the school. One of the positions will work Monday to Friday from 8:00 AM – 4:00 PM, and the other, Monday to Friday from 8:30 AM – 4:30 PM. Training will possibly be scheduled prior to the official start date and would be considered casual employment. The need, and the availability of school staff and the successful candidates, will be assessed prior to scheduling.
To be effective in this role, the successful applicant will not only require a background in bookkeeping and office administration, but also able to maintain a calm and respectful demeanor, even while working under pressure in busy, and sometimes loud, working environment. This role is often the first point of contact for students, parents, and visitors, and by virtue, requires an incumbent who is patient, reflective, kind, enjoys working around adolescents, and understands the impact they have on the perceptions of the school they work for and the division. Therefore, the successful candidate will also require exceptional skills in customer service and teamwork to ensure a professional and collaborative delivery of services.
The Brooks Composite High School (BCHS) is a high school of over 700 students in grades 10-12. We offer a full range of all the academic offerings in addition to a well-respected vocational program that includes Mechanics, Construction, Cosmetology, Foods, and Digital Media. We also offer a fine arts program that includes visual arts and performing arts including Music and Drama. In addition, we are pleased to host the district Inclusive Education Program and have a large ELL program that serves the needs of many newcomers to Canada. We are also very proud of the athletic and extracurricular programs at our school. We run a number of teams and clubs that provide students a great number of opportunities to participate in the life of the school.

Responsibilities
  • Act as a first point contact and administrative support for BCHS students, staff, parents, as well as, community members.
  • Maintain, enter data, and ensure the accurate recording of on-site, distance, and summer student enrollments, class schedules, and grades in the PowerSchool Student Information System (SIS) platform, compliant with Alberta Education requirements.
  • Update student attendance information in the SIS platform, as required.
  • Act as general PowerSchool SIS platform support, for staff and parents at the school location.
  • Assist parents and staff in using the KEV/School Cash system to maintain and complete daily school accounting and bookkeeping tasks.
  • Prepare, organize and distribute on-site, distance education, and summer school materials, as required.
  • Maintain, order and organize office, school, and instructional supplies.
  • Manage web resources including digital communications, newsletter, events, and the school calendar.
  • Support staff with substitute bookings, including contacting and booking substitutes, sending dispatches to the automated booking system, and accurately recording absences in the Atrieve system.
  • On a weekly basis, reconcile substitute bookings with staff absences and provide the weekly report to payroll.
  • Support the school principal by collecting and reconciling any required timesheets.
