IMMEDIATE ADMINISTRATIVE ASSISTANT OPENING OPPORTUNITY TO WORK FOR ONE OF THE LARGEST GOVERNMENT AFFAIRS ORGANIZATIONS IN THE AREA FULL TIME JOB OPPORTUNITY MONDAY - FRIDAY ALBANY, NY (IN OFFICE ONLY) Qualifications: 3 years of administrative experience in an office setting Microsoft Office proficient Excellent communication skills Experience managing calendar/scheduling Description The Scheduling & Office Services Coordinator is responsible for providing scheduling and office support in a very fast-paced environment. This position plays a significant role in the day-to-day operations of the office, and the scheduling logistics. It is the scheduler’s responsibility to ensure that the team’s time is used efficiently and effectively; that they are well prepared for all meetings; and that all commitments made are kept for follow up by the appropriate staff. This individual must coordinate and update schedules throughout the day. This person is constantly in public view, and they must be able to professionally represent the company. Job Responsibilities:  Maintain and organize the calendar and meetings for the Albany team.  Map out travel, client and new business meetings far into the future to best leverage the Albany team’s time.  Interact with stakeholders in relation to scheduling, planning and staffing of meetings, client lobby days, and gatherings, as appropriate.  Ensure coordination between multiple principals and offices.  Draft correspondence, answer phones, coordinate mailing and handle inquiries and requests from internal and external sources.  Provide logistical support for client meetings and lobby days, as well as internal team meetings.  Coordinate the accurate and timely assembly of travel itineraries.  Manage, maintain, and organize confidential materials including a filing system of electronic materials in an online database.  Prepare and assemble reports, documents and other publications, as appropriate.  May manage and implement special projects, assigned. Job Type & Location This is a Permanent position based out of Albany, NY. Pay and Benefits The pay range for this position is $28.85 - $33.65/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
