QUALIFICATIONS:

  • Fluent in German and proficient in English, both written and spoken
  • Relevant administrative or commercial training/certification is a plus

KNOWLEDGE, SKILLS & EXPERIENCE:

  • Proven experience in an administrative assistant or team support role
  • Experience in the pharmaceutical industry is essential
  • Proficiency with Microsoft Office, especially Excel and PowerPoint
  • Familiarity with contract and purchasing tools such as SAP or Cobblestone
  • Excellent organisation and multitasking skills
  • Strong interpersonal and communication skills, in person and virtually
  • High attention to detail and the ability to work independently with minimal supervision
  • A positive, “can-do” attitude and a solutions-oriented mindset
  • Comfortable operating in an agile, evolving environment
Responsibilities

ABOUT THE ROLE

As ADVANZ PHARMA continues to strengthen its position as the partner of choice for specialty, hospital, and rare disease medicines, we are seeking a highly organised Administrative Assistant to support our commercial and medical teams in Germany.
This role plays a vital part in ensuring day-to-day operations run efficiently and compliantly. You will handle a variety of administrative tasks, including meeting coordination, invoice processing, contract support, and general team assistance. Working closely with the Executive Assistant, you’ll help maintain momentum and organisation across the German team, contributing to a culture that values collaboration, service, and continuous improvement.

WHAT YOU’LL DO:

  • Provide daily administrative support to the German commercial and medical teams
  • Coordinate salesforce meetings, HCP contracts and signature processes, and payment tracking
  • Help manage budgets for Sales and Medical Affairs
  • Prepare contracts and purchase requests, and follow up on outstanding action items
  • Submit and reconcile invoices in a timely manner
  • Maintain and update project trackers and document filing systems
  • Ensure compliance with internal policies and procedures
  • Act as a point of contact for internal and external stakeholders
  • Collaborate closely with the Executive Assistant to align on workload and priorities
  • Support the creation of a collaborative “ONE Team” culture across the business
