We’re seeking several Administrative Assistants in both permanent and short-term contract capacities to provide essential support to our clients in a dynamic and fast-paced environment. This role is ideal for someone who thrives on juggling multiple priorities, has a proactive mindset, and takes pride in keeping operations running smoothly.
As the Administrative Assistant, you’ll manage complex scheduling, handle sensitive information with the highest level of discretion, and act as a key point of contact for both internal teams and external guests. Your strong attention to detail and ability to anticipate needs will directly contribute to the success of our clients’ initiatives.
Candidates must be legally eligible to work in Canada.

QUALIFICATIONS & SKILLS:

  • Minimum 2 years’ experience in an administrative or office support role
  • Comfortable interacting with clients and guests both over the phone and in person
  • Proficient with Microsoft 365 (Outlook, Word, Excel, Teams, etc.)
  • Strong skills in calendar management, prioritization, and time management
  • Clear, professional, and proactive communication style

Responsibilities
  • Greet and assist visitors while ensuring a professional and welcoming front desk experience
  • Answer and direct incoming calls in a courteous and efficient manner
  • Coordinate calendars, organize meetings, and prepare agendas
  • Arrange meeting rooms, including setup and catering when needed
  • Support with the communication and enforcement of company policies
  • Maintain, organize, and safeguard confidential information related to HR, business, finance, and personnel matters
  • Prepare briefing materials and take accurate meeting minutes as required
  • Compile, review, and submit expense reports, ensuring compliance with company policies
  • Review employee expense submissions for accuracy and adherence to guidelines
  • Provide general administrative support to the team as required
