Role Description This is a full-time, on-site role based in Newcastle-Under-Lyme, combining Administrative Assistant, Personal Assistant, and Coordinator responsibilities. The role involves managing daily office administration, including handling calls and emails, organizing correspondence, maintaining digital and paper records, and preparing documents, reports, and presentations. The individual will support senior leadership with calendar management, scheduling meetings, booking travel, and coordinating appointments and deadlines. Day-to-day tasks also include coordinating project-related information, liaising with clients, suppliers, and subcontractors, and ensuring smooth communication between office and site teams. The role requires monitoring key dates and tasks, updating internal systems, assisting with basic finance and invoicing support, and contributing to the continuous improvement of office procedures.

Qualifications


  • Strong administrative and organizational skills, including document management, records keeping, and scheduling.
  • Experience providing personal assistant support such as calendar management, travel arrangements, and meeting coordination.
  • Coordination skills to manage multiple tasks, track project milestones, and liaise effectively with internal and external stakeholders.
  • Proficiency with office software (e.g., Microsoft Office, email and calendar tools) and comfort with learning new digital systems.
  • Clear written and verbal communication skills, with a professional telephone manner and attention to detail.
  • Ability to prioritize work, meet deadlines, and adapt to changing needs in a fast-paced environment.
  • Previous experience in an office, construction, property, or design-related setting is beneficial but not required.
  • High level of integrity, discretion when handling confidential information, and a collaborative, team-oriented approach.
  • Relevant vocational training or a qualification in administration, business, or a related field is an advantage.
