Job Title: Administrative Assistant Job Description We are seeking a detail-oriented Administrative Assistant to provide essential administrative support for order processing and documentation. This role focuses on data entry, scanning, filing, and preparing documents for review. You will collaborate closely with the supervisor and support the purchasing and production teams. Responsibilities Enter sales orders into the ERP system (Sage 100). Prepare and scan contract review documents. Send order confirmations to customers. Organize and file purchase orders, packing certificates, and invoices. Maintain logs and accurately type documents. Support document flow for purchasing and accounts payable processes. Perform general administrative tasks including data entry, scanning, and filing. Essential Skills Less than a year of admin expereince Proficiency in Microsoft Excel and Word. Strong typing and computer skills. Reliability and ability to work independently after training. Comfortable with repetitive tasks and high-volume paperwork. Experience with an ERP system preferred, with a willingness to learn Sage 100. ITAR-compliant eligibility. Additional Skills & Qualifications Prior basic administrative or data entry experience is helpful. A personality and willingness to learn are ideal. Work Environment This position is based in an ITAR facility within the aerospace industry and requires 100% onsite presence. The working hours are from 6 am to 2:30 pm, with possible overtime during peak seasons or heavier contract loads. Occasional Saturdays may be required but are not frequent. This is a long-term temporary role, initially set for six months, with the potential for conversion or extension. The facility is a smaller site, spanning 5500 square feet, with a team of 16 people. A collaborative 'all hands on deck' approach is essential, as team members often wear multiple hats. The operations director, who is supportive and hands-off once training is complete, will provide guidance. The role offers a valuable opportunity to gain a foothold in the aerospace industry, with room for growth. Job Type & Location This is a Contract to Hire position based out of Huntington Beach, CA. Pay and Benefits The pay range for this position is $21.50 - $21.50/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
