We are seeking an organized and proactive Administrative Assistant to provide comprehensive support to our management and staff. This role involves efficiently managing administrative tasks to ensure smooth office operations and facilitate effective communication within the organization.

ESSENTIAL SKILLS

  • Proficiency in administrative support and data entry.
  • Strong customer service and call center customer service skills.
  • Experience in front desk administration.
  • Ability to maintain filing systems in paper form or electronically using databases.
  • Promptly answering telephone calls.
  • Experience or skill in performing administrative tasks such as answering phones, scheduling appointments, or maintaining records.
  • Knowledge of or experience with computers.
  • Ability to answer general queries in person, by telephone, or email.

ADDITIONAL SKILLS & QUALIFICATIONS

  • A bachelor’s degree in Business Administration, Sustainability, Project Management, Marketing, or a related field is preferred.
  • A growing interest in the sustainability and energy industry.
  • Experience in an administrative or office support role.
  • Proficiency in PowerPoint, Excel, Adobe, Microsoft Office, Outlook, and clerical skills.
  • Providing information about products and services to customers, clients, and partners.
  • Answering or referring inquiries about business operations, policies, or procedures.
  • Carrying out clerical support tasks such as organizing meetings, preparing presentations, and collating data.

Responsibilities

RESPONSIBILITIES

  • Provide administrative support to management and staff.
  • Manage calendars, schedule appointments, and coordinate meetings.
  • Answer and direct phone calls, emails, and inquiries as needed.
  • Prepare, design, and organize documents, reports, and presentations.
  • Maintain and update the company SharePoint filing system.
  • Handle office supplies inventory and place orders when necessary.
  • Assist with planning and organizing company events, meetings, and other activities.
  • Prepare and submit expense reports and other financial documents for management and staff.
  • Ensure smooth office operations by managing administrative tasks as assigned.
