Atlantic Pipe Services is on the lookout for a dynamic Administrative Assistant to join our team at our Wildwood/Ocala Florida location! Responsibilities: Payroll data entry Prepare and coordinate with HR for virtual new hire orientation: setup onboarding laptop, provide PPE, collect new hire documents, scan to HR Prepare and save rehabilitation hitlists/rehab tables Write and distribute emails, correspondence memos, letters, faxes, and forms Assist in preparation of regularly scheduled reports Provide applicants with application and/or instructions on application process and MVR process: collect, make copies, and scan applications/documents to hiring manager. Maintain weekly physical inventory county of safety equipment, provide information to manager Serves as first point of contact for all office visitors, vendors, and deliveries; greets guests and directs them accordingly. Be available in person to answer payroll and timekeeping questions from employees. (e.g., missed punches, pay discrepancies, PTO requests). Maintain a clean, organized, and professional office environment. Provide administrative support to supervisors and field staff. Participate in process improvement efforts to streamline office and field communication. Assist with job tracking and compile data for billing or reporting Maintain and distribute pre/post equipment inspections to manger and fleet department Maintain downed equipment log and distribute to accounting and management Support managers with variety of tasks, meetings, organizing files, preparing documents, managing communications, and helping with daily office activities as needed. Liaise with executive and senior administration assistants to handle requests and queries from senior managers. Knowledge & Skills Required: Proven experience as an administrative assistant Knowledge of office management systems and procedures Working knowledge of office equipment, like printers and fax machines Proficiency in MS Office (MS Excel in particular) Excellent time management skills and ability to prioritize work Equal Employment Opportunity Statement Atlantic Pipe Services is an Equal Opportunity Employer.
