Our established financial planning firm is seeking an administrative assistant to support our team in providing exceptional service to our clients. The successful candidate will be responsible for managing administrative tasks and providing excellent customer service to our clients. Your responsibilities will be clearly defined.

Responsibilities:

  • Answering phone calls and responding to client inquiries in a timely manner
  • Scheduling appointments and managing calendars for the financial planners and team members
  • Managing client files and maintaining accurate records
  • Processing paperwork and handling client transactions
  • Performing general office duties such as ordering supplies, mail distribution, and maintaining a clean and organized office environment
  • Assisting the financial advisor with research and other tasks as assigned

Qualifications:

  • Strong organizational and time-management skills with the ability to prioritize tasks and work independently
  • Excellent communication skills, both written and verbal, with a friendly and professional demeanor
  • Proficient in Microsoft Office and comfortable with technology such as CRMs and scheduling software
  • Previous experience in a financial services environment is an asset
  • Post-secondary education is desired but not necessary
