Job Summary: The Executive Assistant will supports senior leadership through high-level administrative coordination, proactive problem-solving, and exceptional organizational support. This position requires a reliable person who thrives in a fast-paced environment, manages competing priorities, and consistently delivers satisfactory work. Essential Functions: Work with senior leadership to support their daily work routines and anticipate administrative needs. Keep executives advised of time-sensitive and priority issues, ensuring appropriate follow-up and time resource allocation. Exercise prioritization and discretion in committing time and evaluating needs. Manage multiple email inboxes and calendars, including email prioritization and summarization as well as scheduling meetings and appointments. Draft, review, and send communications as directed by senior leadership. Attend meetings as directed and record accurate, well-organized meeting minutes including key decisions, responsibilities, follow-ups, and deadlines, and distributing minutes to all stakeholders in a timely manner. Coordinate and execute internal and external events and meetings by planning logistics, preparing agendas, documents, and presentations, gathering materials, scheduling, and managing all arrangements such as venue and facility bookings, coordinating catering/meals, entertainment, and attendee communications. Prepare, reconcile and submit expense reports. Arrange travel and accommodations. Support projects as requested and track progress on deliverables. Organize and maintain electronic files and shared drives. Perform accurate data entry and maintain databases. Create and edit documents using PowerPoint, Word, Excel, Illustrator and Photoshop. Nonessential Functions: Other duties as assigned or appropriate Education/Qualifications: Associate’s Degree in Business or related field and 3-5 years of executive administrative assistant experience or equivalent combination of education and experience required. Excellent verbal and written communication skills. Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to prioritize and meet deadlines. Ability to function well in a high-paced and at times stressful environment. Show strong reliability through consistent attendance and the ability to manage responsibilities with minimal oversight. Demonstrates ambition, initiative, and the ability to anticipate work needs. Extremely proficient with Microsoft Office Suite including PowerPoint, Word, Excel, and Outlook with the ability to learn new or updated software. Experience with Illustrator, Photoshop, or other design software preferred. Travel Requirements: Periodic travel for events and meetings is required as needed.
