Job Summary The Administrative Assistant will be responsible for efficiently managing various administrative tasks for Bay Area Retina Revenue Cycle Management and Operations. The daily workload is diverse and integral to the overall functioning of the organization. Provide front desk support, including greeting visitors in professional manner. Receive, review, and distribute incoming faxes, mail and all other correspondence. Ensure timely and accurate processing of information received. Review and process patient payments when appropriate Respond to requests for medical records in compliance with privacy and confidentiality regulations. Coordinate with other departments as needed to fulfill requests. Create and send invoices as appropriate and track all requests. Responsible for follow up on SNF Smartsheet emails. Assist with development of documents, reports and presentations. Coordinate all refund processing, acting as process liaison between RCM and Finance. Prepare and send paper claims to insurance providers ensuring all required documentation is included. Utilize scanning equipment to digitize and organize paper documents. Establish and maintain an efficient filing system for both physical and electronic records. Support the company Chief Administrative Officer, Leadership Team, and Physicians as directed. Oversee conference room usage, managing calendar of booked meetings, maintaining tidiness and ensuring equipment is in good working order. Coordinate IT support as needed prior to scheduled meetings. Ensure all office equipment is functioning properly. Coordinate repairs as needed. Order and stock office supplies, coffee, tea, snacks and other necessities according to policy. Coordinate business trips and dinners, including making reservations and confirming dates and attendance with all participants. Provide backup support for cash posting as needed Special Projects as assigned Requirements High School Diploma or GED 1 year of experience as an administrative assistant 1 year of RCM related experience preferred 1 year of EMR/EHR experience preferred Microsoft Office – Word, Excel, PowerPoint, Outlook Exceptional attention to detail and strong organizational skills. Utilize scanning equipment to digitize and organize paper documents.
